Photography Terms and Conditions
Thank you for choosing me to capture your special moments. I’m excited to work with you and want to ensure that we’re all on the same page about how our partnership will work. These terms are designed to protect both of us and ensure you have the best possible experience. I’ll work with you to create images that reflect my artistic style while incorporating your vision and preferences.
Booking and Payment
Booking Your Session
To secure your date, a non-refundable booking fee of 50% of the total package cost is required. This reserves your date exclusively for you, and I won’t accept other bookings for that time.
Final Payment
The remaining balance is due on or before your session date. I accept cash, FirstPay, PayPal, or direct bank deposit for your convenience.

I’ll arrive with professional equipment, backup gear, and creative enthusiasm. I’m committed to delivering beautiful images that tell your story.
Weather and Rescheduling
For outdoor sessions, if the weather doesn’t cooperate, we can reschedule at no additional cost. I’ll monitor conditions and reach out if we need to adjust plans.
Session Timeline
I’ll arrive on time and ready to work within our agreed timeframe. If you’d like to extend the session on the day, additional time can be arranged at $100 per 30 additional minutes, subject to my availability.
Rescheduling Your Session
Photography sessions may be rescheduled based on availability within five days of the client cancelling their session.
Image Delivery and Editing
Your Gallery
You’ll receive your edited images in an online gallery within three to five days for event coverage, and within two weeks of you selecting your favourite images from your session for lifestyle, portrait photography. I take pride in my editing process and ensure each image meets my professional standards.
Image Selection
Your package included professionally edited high-resolution images. If you’d like additional editing on specific images beyond the standard processing, this can be arranged starting at $35 per image.
Digital Downloads
All images come with a personal use license, meaning you can print, share on social media, and enjoy them with family and friends. However, please don’t sell or commercially use the images without discussing this with me first.
Copyright and Usage
My Rights as Your Photographer
I retain the copyright to all images created during our session. This allows me to continue developing my craft and business while ensuring you have full personal use rights.
Sharing Your Images
I’d love to feature some of your beautiful images in my portfolio, on social media, on my website, and in marketing materials. As such, I typically ask clients to sign a release form, which allows me to use the images taken during the session. However, if you prefer complete privacy, just let me know and I’ll respect your wishes.
Your Rights as the Client
You have unlimited personal use rights to your images. Print them, share them, treasure them – they’re yours to enjoy.
Cancellation Policy
If You Need to Cancel Your Session
I understand that life happens and there’s a lot that’s out of our control. But if you need to cancel for whatever reason, here’s how your refund will be allocated:-
- Cancelling more than thirty days before the session: Full refund minus the booking fee
- Cancelling fifteen to thirty days before the session: 50% refund
- Cancelling less than fifteen days before the session: No refund, but we can discuss rescheduling options
If I Need to Cancel
In the unlikely event that I need to cancel due to illness, emergency, or circumstances beyond my control, you’ll receive a full refund. My liability is limited to the amount you paid for your session.
Privacy and Model Releases
Your Privacy Matters
I respect your privacy and handle all personal information with care. Your contact details and session information are kept confidential and never shared with third parties.
Image Usage and Releases
I typically ask you, my clients, to sign a simple release form allowing me to showcase your beautiful images. If minors are included in your session, I’ll need parental consent. For events with multiple people, I’ll work to ensure everyone’s comfort level is respected.
Removing Images
If you ever want specific images removed from my portfolio or social media channels, just let me know and I’ll happily accommodate your request.
Delivery and Technical Considerations
File Delivery
Your images will be delivered in high-resolution JPEG format through a secure online gallery. I recommend downloading your images within seven days of delivery, as gallery links may expire within fourteen days.
Technical Issues
While rare, if technical issues affect image delivery, I’ll work diligently to resolve them and provide alternative delivery methods at no extra cost to you.
Image Storage
I maintain secure backups of your images for up to one year after delivery, giving you peace of mind. After this time, images may be archived or deleted to manage storage space.
Travel and Additional Services
Service Areas
The client is required to pay entrance fees for any location that is required for the purpose of the photo session.
Rush Services
If you need your images faster than the standard timeline, I’m happy to accommodate rush requests wherever possible for an additional fee of $200, depending on the turnaround time needed.
What's Included in Standard Editing
Standard processing includes colour correction, exposure adjustments, and my signature editing style. Creative retouching, extensive background removal, or dramatic style changes would fall under additional editing services.
Extraordinary Circumstances
When Life Gets in the Way
Sometimes, extraordinary events happen that are beyond anyone’s control. If circumstances like severe weather conditions, natural disasters, government restrictions, venue closures, or health emergencies prevent our session from happening , well work together to reschedule or provide a full refund.
Keeping Everyone Safe
Your safety and mine always come first. If conditions become unsafe during our session, we may need to pause, relocate, or reschedule – and that’s perfectly okay.
Protecting Our Creative Work
Image Integriety
Please don’t alter, crop, or apply filters to images with my watermark or signature. If you’d like modifications, I’m happy to help – I can provide clean versions for your personal editing.
Photo Credits
When sharing images on social media or elsewhere, a simple photo credit like “Photo by Korena Darnelle” is greatly appreciated and helps other potential clients find me. Feel free to also tag me on social media using my @korenadarnelle Instagram handle.
Respecting Copyright
While you have full personal use rights, the images remain my intellectual property. This protects both of us and allows me to continue growing my business while you enjoy your beautiful photographs.
The Fine Print
Liability
While I take every precaution with professional equipment and backup plans, my liability is limited to the amount you’ve paid for the services. I’m not responsible for lost opportunities or indirect damages.
Image Backup
I maintain multiple backups of your images, but I recommend downloading and creating your own backup copies once your gallery is delivered.
Governing Law
These terms are governed by the laws of Barbados, and any disputes will be resolved through friendly discussion first, then mediation if needed, under Barbados jurisdiction.
Agreement
By booking me, you’re agreeing to these terms as outlined above. I may update these terms occasionally to improve my service, but any changes will only apply to future bookings.
